Short bio

Christian Ibars Casas received Engineering and Laurea degrees in electrical engineering from Universitat Politècnica de Catalunya, Barcelona, and Politecnico di Torino, respectively, in 1999, and a Ph. D. degree in electrical engineering from the New Jersey Institute of Technology, Newark, NJ, in 2003. During 2001 he was a visiting student at Stanford University, Stanford, CA. Since 2003 he has been with the Access Technologies area of CTTC. His current research interests are distributed resource management and network coding for wireless networks.

How to Work With Less Paper

I am taking actions to reduce the amount of paper used at work. The main reasons are:

  • If you take work home you have to carry all the stuff that you might need and never end up using, and it's really heavy!
  • If you are a despistado, it is nice to have everything on a computer and be able to find it with Google Desktop.
  • I'm absolutely convinced that you can work more efficiently.
  • Using paper means cutting trees, spending money, more trucks on the road to haul it around, etc. (perhaps the most obvious reason)

Surprisingly, you can actually work using almost no paper just by changing your habits a little bit. For example:

  • Do not print draft documents; keep them electronic and use underlining and comment tools from MSWord or Acrobat.
  • Clean up your hard drive. Separate the documents that you have written or read from the hundreds of papers that you keep but haven't read and don't plan to. This is really important! If you think of it, you probably print important stuff just to reassure yourself that it won't end up lost in your computer.
  • When your instinct tells you to hit the print button, save whatever it is in a specific folder and go back to it when you plan to read it. If you read a paper, underline and make comments using Acrobat and save it with a suffix that indicates that it has been read and has comments on it.
  • Make frequent and numerous backups of your files. If you are a little paranoid (like me), maybe you print important stuff just because it's safer having it on paper than on a computer file, which is not necessarily true.
  • Reading from screen is annoying, so you should probably print the papers that you read thoroughly. But, before printing take a quick look to see if the paper is really worth reading for you (you will discard many in this way). You can read on screen if you are just interested in parts of it. Increasing font size makes it les annoying to me.
  • Use a laptop to go to meetings. Syncrhonize your laptop folders with your desktop or network disk folders. Write comments on a text file. If you don't have one, use a pen drive and go to a room with a computer.
  • Treat all paper as scrap paper. Get rid of it ASAP.
  • Use your smartphone to download notes, shopping lists, Electronic flight tickets and hotel reservations, maps, etc.
